PALM
CREEK SOFTBALL ASSOCIATION
BY-LAW
#1 – Executive Committee:
The
Executive Committee shall consist of the following:
·
Five
(5) Voting Members as elected each year at the Annual General Meeting
1) Chairperson
2) Vice-Chairperson
3) Recording Secretary
4) Treasurer
5) Member at Large
·
Non-voting Representatives of the following:
League Chairperson
One representative of each
Park League Team
One representative of each
Tournament Team
One representative of each Recreational
Softball Group
Activity Director or other
Management designate
Team Selection Director
NOTE:
1) No member may hold more than one
position on the Executive Committee.
2) If a member of the Executive
Committee resigns or vacates a position before the completion of his/her term,
the Executive Committee shall have the option of appointing a member to that
position for the remainder of that term.
BY-LAW
#2 – Duties of the Officers of the Associations:
The
officers of the Association elected annually shall be responsible for the
following: (see Roles and
Responsibilities for each officer below)
Palm
Creek Softball Club – Chairperson Rolls and Responsibilities
•
Enforce
Constitution and By-laws of the Association.
•
Call,
preside and participate in Executive and General meetings.
•
Call,
preside and participate in Association General meetings.
•
Form
sub-committees to report to the Executive Committee, as required.
•
Provide
liaison to Management on behalf of the Executive Committee.
•
Conduct
the business of the Association with the approval of the Executive Committee.

Creek Softball Club – Vice Chairperson Rolls and Responsibilities
•
Enforce
Constitution and By-laws of the Association.
•
Attend
and participate in Executive and General meetings.
•
Preside
over Executive and General meetings in the absence of the Chairperson.
•
Assume
the duties of the Chairperson as necessary.
•
Perform League Chairperson Duties as
follows:
•
Preside
over League meetings.
•
Prepare
Budget for league in conjunction with treasurer.
•
Organize
League schedule and arrange for Softball Diamond with Association Chair Person
•
Liaison
with participating team managers/executives to facilitate agreements on the
rules governing play, ie base distances, pitchers screen requirements, umpires
fee schedule, bats, balls, the rules of play to be adopted, courtesy runners,
and any other issues that arise affecting the overall quality of play.
•
Resolve
games disputes amongst teams with the umpire-in-chief.
•
Facilitate
the organizing of tournaments within the park (Palm Creek), for the 70+, 65+,
Silver Sliders, and Vipers Softball teams, or any other individuals wishing to
host an in park tournament.
•
Assist
Managers of the various park teams in attending out of park tournaments.
•
Other
duties as assigned by the Chairperson.

Creek Softball Club – Recording Secretary Rolls and Responsibilities

•
Enforce
Constitution and By-laws of the Association.
•
Attend
and participate in Executive and General meetings.
•
Maintain
an up to date register of membership.
•
Prepare
and post notices of General Meetings (one week prior to the meeting).
•
Prepare
and distribute agendas/minutes, as required.
•
Record
and transcribe minutes of each Executive and General meeting.
•
Provide
copies of all minutes to each of the Executive Committee members for review and
approval at the following meeting.
•
Provide
correspondence as required by the Executive Committee.
•
Perform
Secretarial Functions for the League Chairperson.
•
Other
duties as assigned by the Chairperson.
Palm Creek Softball Club – Treasurer Rolls and Responsibilities
•
Enforce
Constitution and By-laws of the Association.
•
Attend
and participate in Executive and General meetings.
•
Maintain
an up to date accounting of all Association funds.
•
Collect
and submit all funds received to the Activity Director for safekeeping.
•
Submit
all receipts for the authorized purchases to the Activity Director for
reimbursement to the appropriate party for club expenses.
•
Provide
financial reports to the Executive Committee as required.
•
Provide
an Annual Financial Report at the Annual General Meeting.
•
Assist
members involved in Softball committee events with treasurer functions as
required.
•
Perform
Treasurer functions for the League.
•
Maintain
up to date accounting for all League funds.
•
Report
to League Chairperson.
•
Other
duties as assigned by the Chairperson.

•
Enforce
Constitution and By-laws of the Association.
•
Attend
and participate in Executive and General meetings.
•
Chair
nominating Committee.
•
Other
Rolls and Responsibilities as assigned by the Committee Chair.
•
Maintain
up to date database for all players, coaches and spouses.
•
Chair
Player evaluation sub-committee.
•
Chair
Hall of Fame Selection Committee.
Other duties as assigned by
the Chairperson.
